What are Certificates of Analysis (COAs)?

Certificates of Analysis (COAs) are a manufacturer’s quality documents containing key quality control test data usually specific to a given product lot. With the E21 ERP system, manufacturers and distributors can leverage fully integrated COA software functionality by defining multiple unique COA formats based on the item, customer, or customer-item combination.

Generating COAs with E21 ERP

E21 ERP supports the definition of lot groups that can be specified on an item-by-item or customer-and-item combination basis. These lot groups, in turn, define a series of tests and measured values that must be recorded for a given product lot. The data recorded from these tests is what E21’s COA software then uses to generate the certificate of analysis directly from the system. These tests can be marked as required or optional. The tests can include ranges of valid values or more discrete values, such as color tests or tests measured as pass/fail.

In addition, E21 provides the ability to define QC test requirements at the customer and item levels. For example, suppose a customer demands additional tests be performed, such as sending the product lot to a third-party lab for further testing or requires more stringent ranges of values in the test results. These additional requirements can be maintained and accounted for using E21’s COA software functionality. And with the E21 ERP CRM software solution, COAs can be emailed to specific customer contacts automatically during shipping.

E21’s COA software is not exclusively for manufacturers. Distributors can leverage the system to generate certificates of analysis formatted with their company letterhead by simply inputting data off their supplier’s COA into the system. Alternatively, distributors can maintain their suppliers’ COAs using the E21 ERP document management solution. With the document management solution, COAs can be attached when receiving a product in the warehouse and set to automatically print whenever the product lot is subsequently shipped to a customer.

Going one step further, manufacturers and distributors can leverage E21 Connect, E21’s fully integrated ERP vendor portal. By utilizing the power of the vendor portal, suppliers can log into their accounts and upload COA documents and any other quality documentation that typically accompanies the suppliers’ shipments. These documents are sent to E21 via an EDI ASN transaction and attached to the purchase order in E21 using the built-in document management system.
