For a manufacturing or distribution organization, the order-to-cash process involves all transactions from sales order entry to warehouse order fulfillment, customer invoicing, and payment receipt from customers. With the E21 ERP system, manufacturers and distributors can tie these processes together through built-in order management, EDI, e-commerce, and a fully integrated ERP warehouse management system with multiple shipping integrations, automated invoicing, and built-in workflows to automate the credit and collections processes. E21’s accounts receivable software supports customer-specific invoice formats, ensuring each customer’s invoice requirements are met. Moreover, invoice generation and transmission can be automated – invoices can be automatically printed, emailed, or sent via EDI with E21’s built-in EDI software and available EDI VAN services based on each customer’s preferred invoice delivery method.

Through the invoice generation process, E21 generates invoices with accurate calculations for products, services, freight, and sales tax charges while also managing commissions, discounts, allowances, and rebates. These transactions are then posted to the appropriate source journal in the general ledger, providing a complete audit trail from the invoice to the original sales order and associated shipments.

Accept multiple payment methods from one system

E21 ERP provides for numerous customer payment options. With a built-in terms code builder, customer invoice terms can include net terms, discounted net terms, cash, credit card, or a combination of terms such as a cash down payment with specified percentages paid over defined timeframes. Manufacturers and distributors can also leverage built-in credit card authorization gateway integrations with Worldpay, Authorize.net, Square, and Moneris from both the E21 system and the E21 ERP e-commerce solution.

Manual and automated cash application processes

Upon payment receipt from customers, cash can be applied to one or multiple customer invoices at a time while simultaneously accounting for the application of terms discounts, customer credits, write-off’s, and unauthorized deductions. With E21’s built-in EDI software, E21 can accept the EDI 820 (Payment Order & Remittance Advice) from customers to apply cash to customer invoices electronically and automatically.

E21 performs automated credit checks during order entry based on customer credit limits and customer-specific rules for aged receivables. Should a customer’s order be placed on credit hold, E21’s integrated workflow engine automatically alerts system users in the credit department to the order in question. Moreover, should invoices reach their due date, following a user-defined grace period, automated collection call records are created for system users alerting them about past-due customer invoices.

At any time, accounts receivable system users have one-click access to critical information such as customer balances, outstanding invoices, receivables aging, and key financial statistics. In addition, customer statements can be generated automatically based on customer-specific intervals and printed or emailed to the customer directly from the system.
