Why conduct software vendor reference checks?

After completing the Scripted Software Demonstrations phase of the software selection process, you and your selection team should be armed with the necessary information to tentatively select a preferred ERP vendor and solution. Moreover, based on the vendor scorecard results, the organization should be able to rank its finalist vendors from one to three. The next step is to conduct reference calls with the top two ERP vendors’ customers. Additionally, you’ll need to notify the third-place vendor that they did not make the cut.

Reference call results are usually not a differentiator

Generally speaking, the ERP vendor reference checks should be used to affirm the selection team’s view of the top solution provider. The reference checks are typically not used to differentiate between the remaining two vendors. A customer reference check will unlikely reveal something negative enough to make your project team uncomfortable with moving forward with the preferred vendor. However, if something surprisingly goes awry with your preferred vendor’s references, you can always move on to your second choice.

In addition to conducting vendor reference checks, another final due diligence activity for the selection team is to visit one of the preferred vendor’s customers. The visit lets the selection team see the software system working in a live transactional environment. Like reference checks, the purpose of the site visit is to affirm the vendor selection. The visit is not intended to serve as a tiebreaker between two vendors.

Since the customer site visit’s intent is to affirm the ERP vendor selection, it should only be conducted with the preferred and top-ranking vendor following the onsite demonstrations. It is worth noting that the number of selection team members attending a customer site visit should be held to a maximum of four people. This limit helps to reduce the burden the visit places on the ERP vendor’s customer.
