Require all vendors to follow the same demo script

At this point, your selection team has completed its review of each vendor’s response to your ERP RFP. The software search has been narrowed to a final vendor shortlist (usually around three finalists). You’re ready to move to the scripted software demonstrations phase of the ERP software selection process.

In this project phase, you will develop a formal ERP demo script to provide to each vendor finalist.

The software demonstration script encompasses the following:

Each vendor, in turn, should be required to follow the ERP demo script and address the specific business scenarios and challenges the script presents. Your manufacturing or distribution organization should also provide sample company-specific data to the vendors so that your business processes can come to life during the demonstration. Sample data may include products, customers, vendors, and pricing.


Utilizing the ERP evaluation and demonstration scorecard

Requiring each vendor to follow a singular, cohesive demo script ensures your selection team has the best opportunity to evaluate each vendor quantitatively. The software selection committee should also use a consistent set of grading criteria.

The importance of a site discovery visit

After distributing the ERP demo script and sample data to the final vendors, it may be worthwhile to invite each vendor to conduct a site discovery visit. Ideally, they should complete their site visits in the weeks before their onsite demonstrations. The site visits can help vendors better understand your organization’s manufacturing and distribution processes and the challenges the organization faces.

The discovery visits give each vendor the opportunity to draw a correlation between processes defined in the demo script and how those processes are handled in real life. It also provides an excellent opportunity for the selection team to clarify any vendor questions regarding the demo script and accompanying sample data.
